Terms & Conditions

1. General

These Terms & Conditions apply to all bookings and participation in sessions at Arctic Varanger’s mountain hare photohide. By making a booking, you confirm that you have read, understood, and accepted these terms in full.

 

In these Terms & Conditions, “the Operator” refers to Arctic Varanger®, and “the Participant” refers to any individual attending or participating in a booked session.

 

These terms are intended to ensure clarity and fairness for both parties, while allowing us to deliver the best possible experience

2. Nature of the Experience

The photohide experience is based on observing and photographing wild animals in their natural environment.

 

By booking, you acknowledge that:

 

  • Wildlife activity, including sightings, behaviour, and proximity, can never be guaranteed

  • Activity levels may vary significantly from night to night

  • Environmental factors such as snow cover, weather, temperature, and light conditions may affect the experience

  • The experience may differ from images or examples shown in marketing material

No refunds, discounts, or compensation will be given based on:

  • Low or no wildlife activity

  • Distance to animals

  • Weather conditions

  • Lighting conditions

3. Bookings & Payment
  • Bookings are made through our booking system and are considered confirmed once a confirmation email has been issued

  • Payment is made on-site unless otherwise agreed in advance

  • Prices are stated per person unless otherwise specified 

 

By confirming a booking, you agree to attend and pay for the reserved session. Failure to attend without prior cancellation may result in being charged in accordance with our cancellation policy

4. Pricing
  • Prices are subject to change without prior notice until a booking is confirmed

  • Confirmed bookings will not be affected by later price changes

  • Prices include only what is explicitly stated; travel, accommodation, and personal expenses are not included unless specified

5. Cancellation Policy

5.1 Cancellation by the Customer
 

  • All cancellations must be made in writing (email) or through our booking system

  • Cancellations made more than 24 hours before the scheduled session will not incur any charge

  • Cancellations made less than 24 hours before the session, or failure to attend (no-show), may be charged in full


As payment is made on-site, the Operator reserves the right to issue an invoice for late cancellations or no-shows in accordance with this policy

  • No refunds will be given for:

    • No-shows

    • Late arrivals

    • Early departures

5.2 Cancellation by the Operator
 
The Operator reserve the right to cancel bookings in the event of:
 

  • Unsafe weather conditions

  • Environmental conditions making the experience unviable (e.g. lack of snow)

  • Insufficient wildlife activity due to natural causes

  • Technical or operational issues

  • Any unforeseen circumstances beyond our control

 
In such cases, customers will be offered:
 

  • A full refund, or

  • The option to reschedule (subject to availability)

 
No additional compensation will be provided.

6. Changes Due to Natural Conditions

The operation of the hide is highly dependent on natural conditions, including snow cover and wildlife behaviour.

 

We reserve the right to:

 

  • Adjust the operating season

  • Modify session times

  • Cancel or shorten bookings

Such decisions are made to maintain safety and a reasonable level of quality.

7. Participation & Conduct

Participants agree to:

 

  • Follow all instructions provided by the operator

  • Respect wildlife and avoid any disturbance

  • Maintain quiet behaviour inside and around the hide

  • Show consideration for other participants

The operator reserves the right to:

 

  • Refuse entry

  • Remove participants from the hide

 

in cases of inappropriate behaviour, without refund.

8. Equipment & Personal Belongings
  • Participants are fully responsible for their own equipment

  • The Operator accepts no liability for:

    • Loss

    • Theft

    • Damage

This includes cameras, lenses, tripods, clothing, and other personal items.

9. Safety & Risk

Participation involves inherent risks associated with:

 

  • Arctic weather conditions

  • Cold temperatures

  • Darkness

  • Uneven terrain

 

By booking, you acknowledge that:

 

  • You participate at your own risk

  • You are responsible for appropriate clothing and equipment

  • You are physically capable of attending

The operator is not liable for injuries or health issues arising during or after participation.

10. Access & Logistics
  • Participants must arrive at the agreed time

  • Late arrival may result in reduced experience or denied entry

  • Access instructions will be provided prior to the session

 

The operator is not responsible for:

 

  • Travel delays

  • Missed sessions due to transportation issues

11. Liability

To the fullest extent permitted by law, Arctic Varanger shall not be liable for:

 

  • Any indirect or consequential loss

  • Loss of income, opportunity, or data

  • Dissatisfaction due to wildlife activity or conditions

Liability is strictly limited to the amount paid for the booking.

12. Photography & Media Use

The operator reserves the right to:

 

  • Use photos or video material taken during sessions for marketing and promotional purposes

If you do not wish to appear in any media, you must inform us in advance.

13. Force Majeure

We are not liable for failure or delay in performance due to events beyond our control, including but not limited to:

 

  • Extreme weather

  • Natural disasters

  • Government restrictions

  • Strikes or transportation disruptions

14. Privacy

Personal data collected during booking will be used solely for:

 

  • Managing bookings

  • Communication related to your visit

We use third-party booking software (Acuity Scheduling) to manage and process bookings.

In doing so, necessary personal data may be shared with this provider for the purpose of administering your reservation. 

We process personal data in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR). You have the right to request access to, correction of, or deletion of your personal data, as well as to restrict or object to certain processing.

15. Governing Law

These Terms & Conditions are governed by Norwegian law.

Any disputes shall be subject to the jurisdiction of Norwegian courts.

16. Acceptance of Terms

By completing a booking, you confirm that you have read, understood, and accepted these Terms & Conditions.
